Testing Process

How We Test
CRM Software

Every CRM review on this site follows a consistent 7-phase process. We don't read spec sheets, we build real workflows in real accounts.

7
Phases per review
20+
Hours per platform
100%
Hands-on accounts
1
Phase 1

Candidate Identification

1–2 days
  • Compile every CRM platform with meaningful market share or industry adoption
  • Include niche tools that general review sites miss
  • Document each platform's stated target audience and key differentiators
  • Flag any platforms with known compliance issues, security incidents, or litigation
2
Phase 2

Account Setup & Onboarding Evaluation

1 day per platform
  • Create a fresh account with realistic business information
  • Time the signup-to-first-dashboard experience
  • Evaluate onboarding flow, wizard quality, and default configuration
  • Document time-to-useful-state for a non-technical user
3
Phase 3

Industry Workflow Testing

3–5 days per platform
  • Build the most common industry workflow (e.g., storm damage pipeline for roofers)
  • Test lead import from CSV, form submission, and manual entry
  • Set up a multi-step automation: trigger, wait, condition, branch, action
  • Test two-way SMS if available, email delivery rates, and open rates
  • Evaluate mobile app for field team use cases
4
Phase 4

Integration & Ecosystem Testing

1–2 days per platform
  • Test native integrations with the top 5 tools used by the target industry
  • Evaluate Zapier/webhook capability for non-native connections
  • Test API access on the entry-tier plan
  • Document undocumented limitations or gotchas
5
Phase 5

Pricing & Value Analysis

½ day per platform
  • Map every feature to the plan tier that includes it
  • Calculate the full cost stack equivalent (what tools it replaces)
  • Identify all per-use costs: SMS credits, email sends, contact overages
  • Compare entry tier to most popular alternatives at the same price point
6
Phase 6

Support Evaluation

1–2 days per platform
  • Submit 3 support tickets with varying complexity
  • Evaluate first response time, quality, and resolution
  • Review community forum/Facebook group size and activity
  • Test documentation completeness for the target industry use case
7
Phase 7

Scoring & Writing

1–2 days per platform
  • Apply the CRM Fit Score™ methodology to all collected data
  • Write a draft recommendation with pros, cons, and decision guidance
  • Internal review by a second team member
  • Publish with a dated timestamp and review schedule
