How We Calculate
the CRM Fit Score™
The CRM Fit Score™ is CRM For's proprietary rating system for evaluating how well a CRM platform fits a specific industry's real-world needs. Here's exactly how it works.
Score Formula
(Industry Specificity × 0.25) +
(Automation Power × 0.25) +
(Value for Money × 0.20) +
(Ease of Adoption × 0.15) +
(Speed to Value × 0.15)
Each sub-score is calculated on a 0–100 scale. The weighted average produces the overall CRM Fit Score™. Scores are specific to a platform + industry combination, a CRM can score differently for roofers vs. coaches.
The Five Criteria Explained
Industry Specificity
Does the platform address the real workflows of this industry, not just generic CRM features? We test against industry-specific use cases: storm damage pipelines for roofers, patient recall for dentists, long-cycle drip sequences for real estate.
- Set up a real lead pipeline for the target industry
- Test automation triggers against real-world scenarios
- Evaluate niche integrations (e.g., Google Reviews, MLS, insurance)
- Interview active users in the target industry
Automation Power
Automation is the primary ROI driver in any CRM. We evaluate the depth and flexibility of workflows, triggers, conditions, and multi-step sequences, not just whether automation exists.
- Build a 5-step lead nurture sequence (SMS + email)
- Test conditional branching on form submissions
- Evaluate time-delay, behavior-based, and tag-based triggers
- Measure time to build vs. time to value for each workflow
Value for Money
We evaluate not just price, but effective cost relative to what the platform replaces. A $97/month platform replacing $350/month of separate tools scores higher than a $49/month tool with limited features.
- Calculate total cost of comparable tool stack
- Map features to equivalent point solutions
- Evaluate pricing tier transparency and per-user/contact limits
- Check for hidden costs (SMS credits, add-ons, overages)
Ease of Adoption
The best CRM is the one your team actually uses. We evaluate the onboarding experience, UI intuitiveness, available support, and community resources for new users.
- Time a new user to create their first pipeline
- Evaluate onboarding wizard and documentation quality
- Test mobile app usability for field teams
- Review community size and support response times
Speed to Value
How quickly can a new customer see a measurable return? We track the typical time from signup to first automation running, first lead imported, and first conversion attributed.
- Measure time from signup to first working automation
- Evaluate pre-built templates and starter workflows
- Test data import from CSV and common alternatives
- Review case studies from customers at the 30/60/90 day mark
Limitations and Caveats
The CRM Fit Score™ is an editorial opinion, not a scientific measurement. It reflects our team's hands-on evaluation and should be used as a starting point, not a definitive purchase decision.
CRM For earns affiliate commissions from some platforms we review, including GoHighLevel. We do not accept payments to influence rankings. See our affiliate disclosure.
Scores are re-evaluated quarterly. Platform features and pricing change frequently. Always verify current capabilities on vendor websites before purchasing.
